SECURITY PROCEDURE AT VASTUGRAMAM
- Security guards while on duty should be in clean, neat and full uniform with proper turn out. They are to be polite to residents and visitors.
- Gate to be kept close always and to be open only for vehicles and persons. At all times, gate must be manned by at least one security staff.
- All Owners/residents are required to fix a HVGOA Gate pass sticker on their vehicle windscreens so that they will be allowed to enter the Compound without questioning.
- Vehicles of Owners/residents that do not have a sticker will be required to identify themselves to the Security personnel before being allowed inside.
- Visitors Register will be maintained to record the name, vehicle number, Villa visiting, phone number, time of entry and exit of visitors.
- All other visitors to be permitted to enter only with specific permission with following process :-
- Security to call concerned villa owner/resident over an intercom/phone and gets approval to let in the visitor.
- In case of no response over intercom/phone the security must give the mobile number of the villa owner to visitor and a call to be made by visitor on the telephone number given by security to get connected for getting an approval on the entry.
- If the owner knows about the arrival of the visitor in advance then owner can inform the security gate through intercom or on mobile number 8078518060.
- In case no response over intercom / mobile phone one security on duty should accompany the visitor up to the villa.
- Regular service personnel such as postman, milk delivery and newspaper delivery boys, Vendors, school buses to be allowed with a onetime approval from caretaker.
- All helpers coming to a villa should have a formal application giving the intimation to Association. In turn the Association will approve the entry to Security staff. Any regular servant who does not have an entry request from the residents will not be allowed inside by security.
- Workers/contractors should be issued Entry Pass only upon checking with the resident if work is ongoing. Workers to be issued Pass after approval from resident on intercom or mobile. If NRI, the approval of the worker has to be received by email to the care taker and in turn the Caretaker to confirm to the Security.
- A Register will be maintained to record the Name, Villa number, Purpose of Visit, Time In and Time Out for all workers/contractors, helpers, maids, servants etc..
- Bags or vehicles if any must be checked while exiting with gate pass for materials & vehicle no signed by care taker.
- All workers/contractors must leave the compound by 6pm. In case of emergencies, they will be allowed to remain till 8pm after obtaining special permission from the Caretaker. All workers must leave by 8pm.
- Under no circumstances are workers/contractors allowed to stay inside the compound overnight.
- If workers come with a person claiming to be the owner or representative of the owner and if they do not reside here, then the Security is required to allow entry to workers or contractors only after checking with the Caretaker (even on Sundays).
- The Security personnel are required not to take instruction from an outside Company or individuals other than the Association authorities.
- Security personnel to regularly check if the worker/contractor is working in the right villa, and not loitering in the Compound.
- Keys entrusted by villa owner/tenants are not to be accepted by Security but rather to be given to the Caretaker.
- Visitor’s car to be parked at the correct parking space only.
- Security staff are not permitted to chat with outsiders, drivers, servants and workers as they need to be strict with them.
- None of the workers, except housemaids, are to be permitted on Sundays/holidays without the written order from villa owner or Caretaker.
- One Security staff must go on security beat (patrolling) with batten in the daytime every 2 hours and in the night (from 10pm) one Security should always walk around the compound with baton + torch to ensure no breach of persons from outside. Duty of patrolling will change every one hour with the Security personnel positioned at the gate. Patrolling security position is at the rear side.
- For Owners that are not residing here and are visiting the Compound, the Security will issue a Gate pass after following this process:
- Ask their names and compare and check in the Owners list or Resident list
- Ask for their ID proof.
- During day time ask approval of the Caretaker through intercom or mobile.
- During night time after ID proof check, accompany the visitor or owner or resident (without car sticker) to their home and make sure they go inside with their key and in the morning to inform Caretaker the arrival of this visitor at 8am itself.
